1. Scope
This policy applies to all driving instructors (you/Driving Instructor) using the EzLicence UK Ltd (Company Number 15027268) (EzLicence) booking platform (Platform), both in the use of the Platform and all subsequent bookings and interactions with any learner drivers (Learners) sourced through the Platform. By using the Platform, you agree to comply with the terms of this policy.
2. Purpose
EzLicence aims to ensure a safe, respectful, and professional experience for all users of the Platform. This policy outlines the conduct expected of Driving Instructors and the consequences for breaches.
3. Compliance and Enforcement
All instructors must adhere to this Code. Breaches may result in temporary suspension or permanent removal from the Platform, at EzLicence's sole discretion. Cooperation with any investigation is mandatory.
4. Legal and Licensing Obligations
Driving Instructors must comply with all applicable UK laws, that the Driving Instructor operates within, including, but not limited to:
- Maintaining a valid UK Driving Licence, Approved Driving Instructor (ADI) registration, Potential Driving Instructor registration (PDI), Disclosure and Barring Service (DBS) check, and any other required accreditations at all relevant times.
- Compliance with, the Highway Code, all relevant traffic laws (including emission standards such as the Ultra Low Emission Zone in London, and other clean air zones in cities within the UK) , regulations, rules, policies and guidelines; and
- Ensuring that their vehicle is fully registered, roadworthy, compliant and safe at all times.
For avoidance of doubt, it is the sole responsibility of Driving Instructors to ensure ongoing compliance with these obligations.
5. Professional Conduct
- Treat all Learners, EzLicence staff, and third parties with courtesy, respect, and patience.
- Deliver full lesson time as booked. Do not cut sessions short. (i.e. a 1 hour booking must include at least 1 hour of driving instruction and a 2 hour booking must include at least 2 hours of driving instruction), at the time booked by the Learner,
- Provide their full attention to the Learner during the booking period.
- Avoid any behaviour that could be perceived as aggressive, dismissive, impatient, or intimidating.
- Never smoke, eat, or use your phone during lessons.
- Maintain a clear and tidy car, with no excess rubbish, dirt, or personal belongings.
- Avoid any conduct that could damage EzLicence's reputation.
6. Communication Boundaries
- Communicate with Learners only regarding logistics of booked lessons and relevant training and coaching information.
- Where there is a secondary account holder, all communication should be directed to them in the first instance. For logistical reasons, if the secondary account holder is not available, contact the learner directly.
- Do not contact Learners about reviews, cancellations, or complaints.
- Do not call, message, or visit a Learner or their family outside the context of booked lessons.
- Uninvited or persistent contact after a review or cancellation is strictly prohibited.
- Never visit a Learner's home unannounced or suggest unscheduled in-person meetings.
- Do not make negative, disparaging, or unprofessional remarks about EzLicence, its platform, its staff, its policies, or other Instructors when speaking with Learners, parents/guardians, or members of the public. Any concerns about the platform or EzLicence operations should be directed to EzLicence through the appropriate internal channels.
7. Physical Contact
- Physical contact with Learners must be avoided unless necessary for safety (e.g., taking control of the steering wheel).
- Demonstrate techniques, clarify verbally or with diagrams, never with physical contact.
- Inform Learners at the start of the lessons that you may need to take control of the car in safety situations.
- If control of the car is taken for safety, apologise immediately and clearly explain why it was required.
8. Verbal Behaviour
- Use respectful and supportive language.
- Do not make comments on a Learner's appearance, gender, ability, emotional state, or personal characteristics.
- Swearing, sarcasm, shouting, or intimidating tone is unacceptable.
- Conversation should be focused around driving instruction related to the current learner.
9. Harassment and Sexual Misconduct
EzLicence has zero tolerance for harassment of any kind. This includes:
- Unwanted physical contact, suggestive gestures, or prolonged staring.
- Inappropriate personal remarks or questions.
- Repeated or coercive attempts to contact a Learner or their guardian.
- Unwelcome invitations to meet or socialise.
This includes a strict no sexual contact policy. Any form of sexual behaviour, advances, or comments is strictly prohibited while using the EzLicence platform, regardless of intent, including before, during, or after a driving lesson. Prohibited behaviour includes, but is not limited to:
- Unwanted physical contact or touching.
- Flirtatious remarks, gestures, or jokes.
- Comments about a Learner’s appearance or body.
- Suggestive questions or social invitations.
- Sharing personal details or asking for the same in an inappropriate context.
These rules apply at all times, even if you believe the interaction is consensual or friendly. Sexual conduct is never appropriate in a learner-instructor relationship. Breaches of this policy will result in immediate investigation and may lead to permanent removal from the platform.
10. Working with Minors
When instructing Learners under 18:
- Do not privately contact the Learner.
- Do not arrange unscheduled meetings.
- Avoid physical contact entirely unless an emergency requires it.
11. Lesson Management and Cancellations
- Where a booking can not be completed, contact all affected Learners and offer options for rescheduling.
- Third parties are not permitted in the vehicle during a driving lesson unless the learner specifically requests their presence, or if the learner is under 18, their parent or guardian requests.
- Provide instruction only to one Learner per booking.
- Do not collect a new Learner while instructing another.
- Only accept payment through the Platform. Do not request or accept side payments or gifts.
- Do not encourage Learners to cancel lessons or request refunds.
- Do not pressure Learners over cancellations or reviews.
12. Social Media and Public Commentary
- Do not publicly comment about Learners or EzLicence on social media.
- Do not attempt to respond to or dispute reviews outside the formal EzLicence process.
- Do not post videos, photos or any other content of a learner without their written or verbal consent (if the learner is 18 or older) or the consent of a parent/guardian (if the learner is under 18).
13. Work health and safety
Driving Instructors must comply with all applicable work health and safety laws as they apply in United Kingdom Under work health and safety laws, Driving Instructors may be responsible for both their own safety, as well as the safety of any third parties who are present in their workplace (ie. the Driving Instructor’s vehicle), and must do all that is reasonably practicable to manage the risks associated with the use of their vehicle.
14. Vehicle Signage and Brand Representation
If you display EzLicence signage (including magnetic signs, stickers, or branded materials) on your vehicle, you are representing the EzLicence brand publicly at all times. While displaying signage, you must:
- Drive courteously, safely, and in full compliance with road rules.
- Avoid aggressive driving behaviours such as tailgating, abrupt lane changes, excessive honking, or speeding.
- Be mindful that your conduct reflects directly on the EzLicence brand and can influence public perception, learner trust, and future business.
- Ensure signage is clean, legible, and securely affixed to your vehicle when in use.
Any reports of unsafe, discourteous, or unlawful driving behaviour while displaying EzLicence signage may result in investigation and disciplinary action.
15. Investigations and Disciplinary Action
EzLicence reserves the right to investigate any alleged breach of this Code of Conduct. Investigations may include:
- Reviewing lesson history, platform communication, feedback, and correspondence.
- Requesting written or verbal responses from the Driving Instructor.
- Gathering statements from Learners, parents/guardians, or other involved parties.
Driving Instructors are required to:
- Cooperate fully and honestly during the investigation process.
- Refrain from contacting the Learner or complainant directly.
- Maintain confidentiality regarding the complaint.
Following the investigation, EzLicence may, at its sole discretion:
- Issue a written warning.
- Require training or remedial action.
- Temporarily deactivate the Driving Instructor’s public profile.
- Permanently remove the Driving Instructor from the Platform without notice.
EzLicence will consider the nature and seriousness of the conduct, the impact on the Learner, any past behaviour, and the Driving Instructor’s level of cooperation when determining outcomes.
EzLicence aims to ensure a safe, fair, and balanced investigation process for all parties involved.
